Privacy statement

Bilderberg, established at Herikerbergweg 1-35 in Amsterdam, is responsible for the processing of personal data as described in this privacy statement.

Data Processing

Bilderberg processes your personal data because you make use of our services and/or because you have provided this data to us yourself. Below you will find an overview of the personal data we process:

- First and last name
- Gender
- Date of birth
- Address details
- Phone number
- Email address
- Other personal data that you actively provide, for example by creating a profile on this website, in correspondence and by phone
- Data about your activities on our website
- Internet browser and device type
- Bank account number
- Health information, such as dietary requirements or wheelchair use

Special and/or sensitive personal data that we process

If you provide us with health data yourself, such as dietary requirements, allergies or the use of a wheelchair, we will process this data in your reservation. We may store this data for future reservations. Our website and/or service does not intend to collect data about website visitors who are under the age of 16, unless they have the consent of parents or guardians. However, we cannot verify whether a visitor is older than 16. We therefore recommend that parents be involved in the online activities of their children, in order to prevent data being collected about children without parental consent. If you are convinced that we have collected personal data about a minor without this consent, please contact us at privacy@eventhotels.com and we will delete this information.

For what purpose and on what legal basis we process personal data

Bilderberg processes your personal data for the following purposes:

- Processing your payment
- Sending our newsletter and/or promotional leaflet
- To be able to call or email you if this is necessary to carry out our services
- To inform you about changes to our services and products
- Bilderberg analyses your behaviour on the website in order to improve the website and to tailor the range of products and services to your preferences.

Automated decision-making

Bilderberg does not make decisions about matters that may have (significant) consequences for individuals based on automated processing. These are decisions made by computer programs or systems, without any human involvement (for example, an employee of Bilderberg).

How long we retain personal data?

Bilderberg does not retain your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods for the following (categories of) personal data:

Name and address details

Phone numbers

Retention period: Unlimited

Email addresses, Facebook IDs, Twitter IDs, etc.

Gender, date of birth and/or age

Usernames, passwords or other login details, customer numbers

Retention period: Unlimited

Reason: The data processing is necessary for the protection of legitimate interests. The data processing is necessary for compliance with a legal obligation. And/or consent has been obtained from the person(s) concerned.

Financial data: account numbers, credit card numbers

Retention period: Credit card number for a maximum of 7 days or after successful integration of the booking into our reservation system, whichever comes first. CVC code is retained for a maximum of 24 hours after booking or when the booking is viewed, whichever comes first.

Reason: The data processing is necessary for the performance of a contract.

Health data, such as dietary requirements

Retention period: Unlimited

Reason: The data processing is necessary for the protection of legitimate interests. And/or consent has been obtained from the person(s) concerned.

Lifestyle characteristics (including family composition, interests, demographic characteristics)

Data obtained from (public) social profiles (Facebook, LinkedIn and Twitter accounts, etc.)

IP addresses

Retention period: We will only retain information about you for as long as is legally necessary to achieve the purpose for which it was collected.

Reason: To comply with laws and regulations in the Netherlands and other EU jurisdictions, such as anti-money laundering legislation, including the Dutch Anti-Money Laundering and Anti-Terrorist Financing Act. Without personal data we cannot comply with these laws and regulations and therefore cannot offer you our Services.

Sharing personal data with third parties

Bilderberg shares your personal data with various third parties where this is necessary for the performance of the agreement and to comply with any legal obligation. But also where this is necessary to communicate with you about services and/or upgrades during your stay. With companies that process your data on our behalf, we conclude a data processing agreement to ensure the same level of security and confidentiality of your data. Bilderberg remains responsible for these processing activities. In addition, Bilderberg provides your personal data to other third parties. We only do this with your explicit consent.

Cookies, or similar techniques, that we use

Bilderberg uses functional, analytical and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet or smartphone when you first visit this website. Request for access

This is how you can request the data we hold about you

You have the right to access, correct or delete your personal data. You also have the right to withdraw your consent for data processing or to object to the processing of your personal data by Bilderberg, and you have the right to data portability. This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or another organisation specified by you.

You can do this by sending an email to privacy@eventhotels.com

To ensure that the request for access has been made by you, we ask you to send a copy of your identity document along with the request. In this copy, please black out your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks. Bilderberg also wishes to point out that you have the option to file a complaint with the national supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
